Documentation
A plain-English guide to every part of Quantifiable
Written for people doing the work, not for people reading a specification. Ask the assistant if you would rather be shown than read.
Getting started
Workspaces and roles
A workspace is your firm. You invite colleagues and give each person a role.
Getting started
Dashboard and search
The dashboard is your working day. Press Ctrl+K to jump anywhere.
Projects
Create and manage projects
A project holds the drawings, takeoff, bill, programme and client share for one job.
Projects
Project overview
The overview is the front page of a job. It shows where the work stands and links into each section.
Projects
Drawings and files
Upload PDFs and other files here. Drawing PDFs are what takeoff measures.
Projects
Issued documents
The Documents tab is the register of reports and packs you have issued, not the raw drawing upload list.
Commercial
Project emails
Copy the project BCC address onto any email and the thread is stored on the job.
Takeoff
Takeoff: measure a drawing
Start a session on a PDF, set the scale, then measure. AI suggestions do not count until you accept them.
Takeoff
Takeoff assemblies
An assembly turns a measured length, area or count into a schedule of materials. You set the build-up once; the quantities follow the measurement.
Takeoff
Takeoff costing and per unit
Link cost-database resources to each assembly line. Per unit is hours or days of that resource for one unit of the material line — not a share of cost per linear metre.
Estimates and BoQ
Estimates and bills of quantities
An estimate is a priced bill. You add lines, pull quantities from takeoff, and issue when it is ready to share.
Estimates and BoQ
Cost buildup
A unit rate is built from materials, labour, plant and uplifts. Every number must point back to a source.
Schedules of works
Schedules of works
A schedule of works is a written description of the job, structured in your firm’s headings. It is not the priced bill.
Tendering
Tendering
A tender event is how you invite contractors, issue a package, collect returns and compare them.
Programmes
Programmes and earned value
A programme is the Gantt of the job. You can draft it from the estimate, then track progress and earned value.
Post-contract
Variations
A variation is a priced change after the contract is let. It uses the same library and buildup as the original bill.
Post-contract
Valuations and payment certificates
An interim valuation records how much of the bill is complete this month and produces a payment certificate.
Post-contract
Final account
The final account starts from the contract sum, adds agreed variations and valuations, and ends at the final figure.
Client portal
Client portal
Clients sign in on your subdomain, review an issued estimate, and accept, reject or comment.
Commercial
Commercial and invoices
The Commercial tab is invoices and payment on the job. It is not the cost database.
Cost database
Cost database
The cost database is your firm’s price library. It starts from a maintained UK list. You override what you need.
Cost database
Cost database: categories
Categories are the NRM (or custom) folders that items sit in. They are a tree, not a flat list.
Cost database
Cost database: items
Items are material (and similar) rates: a description, a unit and a rate stored as a decimal string.
Cost database
Cost database: labour rates
A labour rate is one trade and one rate per hour or per day. It is not a gang.
Cost database
Cost database: gangs
A gang is a named crew. Its rate is worked out from the member trades. You never type a gang lump sum.
Cost database
Cost database: plant
Plant rates are hire prices for machines, usually per hour or per day.
Cost database
Cost database: assembly defaults
The Assemblies tab stores the firm’s default cost links for each built-in component, so you do not re-link Groundworkers Gang on every job.
Cost database
Cost database: formulas
A formula turns measured dimensions into a quantity. The language is only + − × ÷ and parentheses.
Reports
Reports
Reports are branded PDFs built from the same numbers as the screens. Generation is a background job. You poll until it is ready.
CRM
CRM, contacts and calendar
CRM holds people and organisations. The calendar holds site visits. It is not the project file store.
Settings
Settings
Settings is the workspace control panel: people, branding, billing, portal, reports and integrations.
Settings
Settings: workspace
Workspace holds the firm name, logo, subdomain, sending domain and AI preferences.
Settings
Settings: report defaults
Firm identity on PDFs: covers, headers, footers, standing disclosure and sign-off rules.
Settings
Settings: schedule of works templates
Templates are reusable heading structures for schedules of works. They are not priced bills.
Settings
Settings: cost database
Past pricing imports, the original files, and superseded item prices stay here so a rate can always be traced.
Settings
Settings: client portal
What clients see when they sign in, and who in the firm is emailed when they act.
Settings
Settings: security and privacy
Two-step verification, active sessions, data export and deletion requests.
Settings
Settings: billing and trials
Every new workspace has a 14-day trial. After that the workspace is read-only until you pick a plan.
Settings
Settings: AI usage
This page shows what the workspace’s AI features have spent in the last 30 days. It is not the How-to assistant’s knowledge.
Settings
Settings: client payments
Connect Stripe if you want clients to pay invoices from the portal. This is not staff subscription billing.
Settings
Settings: integrations
Xero, Google Calendar, SMS, and external AI assistants (MCP) connect here. The in-app How-to assistant does not.
Help
How-to assistant
Ask how a screen works, in plain English. The assistant only reads this user guide. It cannot see your job and it cannot change a bill.
Integrations and MCP
Connect an AI assistant (MCP)
Quantifiable runs an MCP server, so a compatible AI assistant can read your workspace and draft work for you to approve. It connects as you, with your permissions.
Integrations and MCP
Connecting your assistant
Copy the server address from Settings → Integrations into your assistant, sign in, and approve what it may do.
Integrations and MCP
What an assistant is allowed to change
Reading, writing and administration are separate permissions. Work that touches a priced or client-facing document waits in an approval queue.
Integrations and MCP
What an assistant can reach
Around sixty tools spanning every module. The assistant discovers them itself, already filtered to what your permissions allow.
Integrations and MCP
MCP security and limits
Connections are isolated to your workspace by the database itself, logged in full, and rate limited.
Integrations
Connect an AI assistant over MCP
Quantifiable runs a Model Context Protocol server, so a compatible AI assistant can work from your live projects, estimates, takeoffs and programmes. It connects as you, with your permissions, and anything touching a priced document waits for your approval.

How-to assistant
Ask how a screen or field works. This assistant only reads this guide — it cannot see your jobs and it cannot change a bill. For an assistant that works from your own data, see MCP above.
