RFIs (requests for information)

Record the questions you send the design team, numbered in strict order on each project, with their responses and status.

Open the project → RFIs. The tab appears once RFIs are switched on for your firm.

Choose New RFI. Give it a subject, the question, who it is addressed to and when you need an answer. It takes the next number on the project, for example RFI-007, when you save.

Numbers are never reused. Cancelling an RFI keeps its number on the register, marked Cancelled, and the next RFI still takes the next number. Cancelled is final; to ask again, raise a new RFI.

Record each response as it arrives and mark it accepted or not accepted. Close the RFI when an accepted response answers it, or with a note saying how it was resolved. A closed RFI can be reopened with a reason.

To point at the drawing, choose Mark up drawings on the RFIs tab. Pick a PDF drawing, open the RFI in the list, choose Link new markups here, then draw clouds, arrows, boxes or callouts. Each markup saves straight away and shows the RFI number beside it. Click a markup's number to open its RFI; open an RFI to jump to its markups.

Markups stay on the drawing revision they were drawn on. When a newer revision is uploaded, the older one says so and links to the current one, and the current one offers to copy the RFI markups across.

Choose Export on the drawing for a PNG or JPEG, to print it, or for a working-copy PDF at the drawing's own paper size.

To issue an RFI, open it and choose Prepare Rev A, check the draft, then Issue. Your firm's check and approval settings apply. Send then emails the issued PDF to the addressee, copying whoever you choose, and the email is kept on the project's Emails tab. If you change who the RFI is addressed to, issue a new revision before sending. If it went another way, record it with Sent outside Quantifiable.

An RFI is not an instruction. If the answer changes the scope, raise a variation for it.

Fields

Response required by
The date you need an answer. It defaults to seven days after the RFI is raised.
Example: Raised 9 Oct 2026, so due 16 Oct 2026 unless you change it.
Status
Open, Closed or Cancelled. Under Open the register says what it is waiting on: not sent, awaiting response, response under review, or overdue.
Example: An open RFI past its date with no response shows Overdue.

Examples

  • Missing lintel detail

    Raise RFI-004 to the architect: drawing A101 rev B shows no lintel over door D04, please confirm the specification. When the reply arrives, record it, accept it and close the RFI.
